Business automation for small businesses
Business automation for small businesses, in plain English
If you do a job the same way every week, there's a good chance it can be done for you. I set up simple automations and AI assistants that take the repetitive work off your plate, and I make sure you understand and trust every one of them.
What can be automated in a small business?
Here are the jobs I'm asked about most.
Enquiries and emails
New messages sorted, common questions answered and replies drafted for you to check, so no customer waits hours for a response.
Quotes and paperwork
A few notes or a quick voice memo turned into a tidy quote, invoice or letter in minutes rather than an evening.
Invoices and chasing
Invoices sent on time, receipts matched in Xero, QuickBooks or FreeAgent, and polite reminders when someone hasn't paid.
Bookings and reminders
Appointments confirmed automatically, reminders sent the day before, and cancellations filled from a waiting list.
Copying details between systems
Customer details typed into three different places? That can happen once, automatically.
Reports and follow-ups
A simple weekly summary of enquiries, jobs and money owed, plus follow-ups on quotes that went quiet.
Safe, reliable and you stay in control
Automation should take worry away, not add to it. That's why I set things up carefully.
Every new enquiry gets a helpful reply within minutes, and you get a short summary of who's waiting on what each morning.
How I set it up
- Start small with one or two jobs, then build from there
- You approve anything important before it goes to a customer
- Tested properly with real examples before it goes live
- Your data stays in accounts you own, set up with UK GDPR in mind
- Shown to you in plain English, so you can change things yourself
Works with the tools you already use
You usually don't need new software. I connect to what you already have, for example Gmail or Outlook, Google or Outlook calendars, Xero, QuickBooks or FreeAgent, your website contact form and your booking system. If something you use can't be connected, I'll tell you straight and suggest the simplest alternative.

Common questions
Do I need to buy new software?
Usually not. I start with the tools you already pay for. If a new tool would genuinely help, I'll explain what it costs and why before you decide.
What happens if something goes wrong?
Anything important waits for your approval, and I build in simple checks so problems are spotted early. I'm on hand afterwards to fix and tweak things.
How long does it take to set up?
Simple first jobs are often up and running in days rather than months. You'll get a realistic timeline in your plan before any work starts.
Is automation the same as AI?
Not quite. Automation follows set steps, like sending a reminder the day before a booking. AI can read and write, like drafting a reply to an enquiry. Most small businesses get the best results from a mix of both.
